SUMMARY:
Manages and correlates cost accounting and other financial data to expedite construction, development, information systems projects, and provides various office management and planning functions.
ESSENTIAL FUNCTIONS:
Develops and maintains central repository for tracking capital and operational projected data, accounts, budgets, costs, status and vendors.
Schedules meetings, takes minutes, sets up travel arrangements, and provides a wide range of administrative support functions for assigned projects.
Ability to design, code, test, debug, implement and maintain database systems that meet users’ requirements.
Sets up dictionaries; educates users in data entry; searches and assists in defining user needs and organizing to create appropriate database.
Uses Visual Basic to take advantage of advanced MS Access capabilities.
Develops and maintains relational databases for special projects as assigned.
Confers with and advises database users of functional capabilities of various databases.
Interacts with users through various phases of design, implementation and maintenance; exports and imports data to and from other information systems.
Designs forms that integrate information from multiple databases.
Provides financial and status data to management and other staff members.
Performs, consolidates and analyzes cost accounting procedures and other routine statistical or financial reports, including any desirable analysis of periodic departmental reports.
Completes tracking tools to assist in the management of construction in progress (CIP) projects and provides year end and summary reports for capital projects.
Prepares, analyzes, and maintains cost data as required by Finance Department and Director of Department assigned.
Designs queries to create new databases, forms and reports.
Coordinates and expedites processing of purchase orders and invoice payment with department, Purchasing and Finance.
Designs summary and detail reports that expedite purchase order process and facilitate accurate tracking of that data.
Prepares and processes construction documents and prepares pre-qualification documentation for all contractors.
Adheres to TMC organizational and department-specific safety, confidentiality, values, policies and standards.
Performs related duties as assigned.
MINIMUM QUALIFICATIONS
EDUCATION: Associate's degree, or an equivalent combination of relevant education and training.
EXPERIENCE: Three (3) years experience preparing tools to track and monitor projects.
LICENSURE OR CERTIFICATION: None required.
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of database development and managing system information.
Skill in designing dictionaries for optimal ease of use.
Ability to read, analyze and interpret general business periodicals, technical procedures or governmental regulations.
Ability to write reports, business correspondence and procedure manuals.
Ability to effectively present information and respond to inquiries or complaints from employees, patients and/or their representatives, and the public.
Ability to work with concepts such as fractions, percentages, rations and proportions, and to apply mathematical operations to solve or analyze job related situations.
Ability to create financial forecasts and budgets.
Ability to identify positive or negative variances from expected outcomes.
Ability to define problems, collect data, establish facts, and draw valid conclusions.
Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
