Provides general clerical support to assigned department(s).   


Acts as a receptionist in receiving visitors to the department; may handle incoming telephone calls and may provide assistance and directions to patients, visitors, and staff.

Operates a personal computer, calculator, fax machine, copy machine or related office machinery in performing assigned duties.

Operates office equipment to store, edit, format, print and revise letters, memos, statistical tables, reports, forms, labels and other printed material.

Enters data associated with department activities and runs reports as required. 

May schedule procedures or work and coordinates this information with other departments.

Opens and routes incoming mail; distributes correspondence and other material to department staff.

Inventories and orders all office supplies regularly.

Develops and maintains necessary records and files for efficient operation; maintains confidential files.

May coordinate processing of paperwork and record changes among several departments; may maintain a departmental legal library.

May arrange appointments and meetings, coordinating meeting and agenda materials, as well as taking minutes when required; may compose letters and memoranda.

Adheres to TMC organizational and department-specific safety, confidentiality, values, policies and standards.

Performs related duties assigned.



EDUCATION: High school diploma or general education degree (GED), or an equivalent combination of relevant education and experience.

EXPERIENCE: Six (6) months of related office support experience, preferably in an acute care setting.

LICENSURE OR CERTIFICATION: None required. Department specific: Crisis Prevention Instruction (CPI) required , Fingerprint clearance card, Cardio Pulmonary Resuscitation (CPR ).


  • Knowledge of office support practices and equipment used in filing, answering phones, making copies and entering information into a computer system.

  • Strong data entry skills.

  • Skill in the use of office equipment including computer and copy machines.

  • Skill in attention to detail and following detailed procedures.

  • Skill in scheduling time to ensure tasks with the highest priority are completed on time.

  • Ability to read or listen and comprehend simple instructions, short correspondence, and memos.

  • Ability to write simple correspondence.

  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

  • Ability to add, subtract, multiply, and divide using whole numbers, common fractions, and decimals.

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

  • Ability to deal with problems involving several concrete variables in standardized situations.
