Foundation Database Administrator
As a member of the development team, the database coordinator will play a critical role in the functioning of the TMC Foundation team. This position plays a key role in maintaining the integrity of Raisers Edge (our donor database) and maintaining donor communication and satisfaction through timely donor acknowledgement. Oversees the overall management of the fundraising system, wealth screening, data retrieval, reporting, documentation, and data/system application training for staff. This position works closely with the development and finance teams. Primarily they ensure the effectiveness and timeliness in processing donor information and donations using best practices techniques to main optimal data integrity and maintaining donor communication and satisfaction. This position is responsible for providing both project management and database support to their team so that team members are able to maximize fundraising success. This position reports to the Vice President and Chief Development Officer.
Oversee philanthropy operations supporting all areas of development and has oversight of constituent records, gifts administration, reporting and prospect research.
Develop, implement, and maintain policies and procedures for optimal data integrity analysis, reporting and compliance with system best practices.
Participate in development of best practices and documentation in maintaining accurate database records. Proactively review, develop and implement coding systems to meet tracking and analytical needs and improve the efficiency and accuracy of the database
Manage daily wealth screening and develop and implement business processes following industry’s best practices.
Maintain and updates donor acknowledgement letters and provides overall management of the fundraising system.
Pull data and create reports to aid in analysis of donor retention, appeal response analysis, progress to annual goal and extractions of data from the database for analytical purposes
Act as liaison to finance department in monthly reconciliation of gift and accounting records.
Work with internal team to deliver builds including but not limited to events, direct mail appeals, and the grateful patient program.
Design and execute data integrity projects including returned mail, address updates, merge and inactivation processes.
Work with development team to manage the tracking and reporting of solicitation efforts and direct mail initiatives.
Stay knowledgeable of software changes and features though investigation, training and documentation review. Serve as software trainer and trouble shoot for staff.
Manage quality control for data entry, constituent information management, and data imports.
Extract data from fundraising software to facilitate mailings and reports.
Use Word, Excel, Access and other programs as needed.
Perform weekly, monthly, and annual maintenance tasks.
Control users’ access and security rights.
Work with hospital’s IS department to establish and maintain security procedures for access system and protecting priority data; performs ongoing maintenance to ensure optimal system performance.
Provide support to fundraising and donor stewardship events
Attend meetings as required.
Adhere to and support staff in exhibiting TMCH values of integrity, community, compassion, and dedication.
Perform related duties as assigned.
EDUCATION: Bachelor’s degree or an equivalent combination of relevant education and experience.
EXPERIENCE: Three (3) to five (5) years of experience in fundraising or related field at a large non-profit institution. Progressive experience and demonstrable success in fundraising required.
