Our case management department is comitted to your success! We provide a 4 week training period for this position to ensure you feel comfortable performing the daily duties. 

SUMMARY:

Performs skilled secretarial, varied clerical, and routine administrative support functions for department management and other members of the department as needed.

ESSENTIAL FUNCTIONS:

Schedules and maintains departmental calendar of events.

Organizes major meetings including distributing materials, arranging for refreshments and preparing name tags for events.

Schedules appointments; maintains and updates management's daily calendar; although assigned to one department, may be responsible for scheduling appointments for multiple managers.

Answers telephones, routes callers, takes messages and provides routine information to callers; opens and routes incoming mail.

Types memoranda, policies, committee minutes, manuals, letters, forms, procedures, and other materials as directed.

Formats special reports and presentations including tabular displays, graphics and overhead transparencies; compiles and computes data for routine business reports as instructed.

Operates a personal computer, word processing equipment, calculator, FAX machine, copy machine or related office machinery in performing assigned duties.

Develops and maintains necessary records and files for efficient operation and data retrieval.

Monitors departmental expenses for office supplies and maintains inventory within budget.

Records meeting minutes through the use of shorthand or rapid long-hand to maintain an accurate record of decisions.

May make travel and lodging arrangements directly or through travel agencies.

Adheres to TMC organizational and department-specific safety, confidentiality, values policies and standards.

Adheres to and supports team members in exhibiting TMCH values of integrity, community, compassion, and dedication. 

Performs related duties as assigned.

 

 

Case Management:

Works with case managers to obtain insurance authorizations, order durable medical equipment, arrange transportation, set up outpatient services, or facilitate the transfer of the patient to another level of care upon discharge from the hospital.  Ensures follow up appointments are scheduled as directed by case manager and patients are provided access to available primary care provider’s resources prior to discharge with appropriate documentation in Electronic Medical Record. Updates expected discharge list for bed flow meetings, attends unit rounds to understand patient discharge needs, and prints and distributes required Medicare notices to case managers daily. Responds to utilization review phone calls, faxes, and website update requests in a timely manner.  Interacts and provides assistance to the interdisciplinary treatment team in an efficient and professional manner. 

Infection Control:

Collects and maintains records of air quality, MRSA, and other infectious disease data, prepares reports for Infection Control Specialists and manager.   Maintains follow up logs and files to monitor progress of projects.  Extracts data, prepares detailed reports, and ensures timelines and critical follow up are conducted to meet requirements.  Screens calls and provides basic information alerting manager of any issues.  Education:  Associate’s degree preferred in business, healthcare or related field.  Experience:  Two (2) years of healthcare experience and one (1) year of infection control or employee health related experience preferred.

Wellness:

This position supports the day-to-day operations of TMC’s offsite health and wellness center, including administrative support, class registration, set up and participant tracking, and customer service. This individual will greet customers, demonstrate knowledge of the resource center capabilities, schedule and function. The administrative associate works at the direction of the management team for day-to-day operations of the resource center to prepare the resource center for daily/weekly seminars; assist clients with resources available at the Resource Center; answer guest questions; provide direction and assistance to clients interfacing with TMC services. Must be comfortable working in an event driven environment, with all age groups and demographics.

Purchasing:

Assumes responsibility for assigned areas of products to purchase and ensure timely delivery on requested items, for example office supplies and maintenance items.  Assists in the preparation of bids, requests for quotes and proposals, including specifications and supporting documents.

Foundation:

Assists with gift processing through the utilization of spreadsheets and fundraising database.  Prepares tax receipts and gift notification letters in Microsoft Word.  Maintains accurate records of expenditures through Foundation grants and department budgets in Microsoft Excel.  Ensures data is accurately entered in the fundraising database and updates information when necessary.  Utilizes Foundation’s wealth screening tool.  Record meeting minutes for committees when necessary.  Provides general clerical support to the Foundation team.  Performs other duties as assigned. 

Medical Neighborhood / TC3:

Works with multidisciplinary team members to carry out plan of care for each assigned client.  Ensures patient is progressing toward desired outcomes by continuously monitoring referrals, services and outcomes.  Assists in  coordinating efforts of intake team members, volunteers and agencies.   Improves quality and completeness of documentation and data collection.  Maintains relationships with cooperating agencies and assists in matching of clients to services based on need and location.  Utilizes computer software and programs to record all aspects of program.  Medical office and/or hospital experience preferred.  

 

 

 

 

Pediatric Therapy and Audiology:

Calls insurance companies to obtain authorization for services. Communicates with registration team to update coverages. Schedules patient appointments. Performs front desk reception duties. Monitors and restocks supplies.  Performs other duties as assigned.

 

MINIMUM QUALIFICATIONS

EDUCATION:  High school diploma or general education degree (GED), or an equivalent combination of relevant education and experience.

EXPERIENCE:  Two (2) years of secretarial, administrative support or office management experience, preferably in an acute care setting.

LICENSURE OR CERTIFICATION:  Departments Cardiac Rehabilitation, Pediatric Therapy, and Employee Health require current Cardio Pulmonary Resuscitation (CPR). Department specific: Fingerprint Card.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of computer-related scheduling systems and word processing software (preferably Word).
  • Knowledge of spreadsheet, database, and presentation software (such as Powerpoint).
  • Knowledge of office management and secretarial support functions.
  • Skill in organizing tasks and files for optimum efficiency.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations. 
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to complete routine reports and correspondence.
  • Ability to listen and accurately interpret others’ communication or instructions to take appropriate action.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to add, subtract, multiply, and divide using whole numbers, common fractions, and decimals.
