SUMMARY:
Provides centralized staffing assistance and work assignments for patient care areas.  Audits need requests to ensure proper placement of resources and best resource option from a sound fiscal management perspective are utilized to provide for staff shortages in patient care areas.

ESSENTIAL FUNCTIONS:

Collects patient admission data from individual requesting a patient sitter.

Utilizes Bed Board to facilitate managing staffing needs.

Responds to telephone, electronic mail and facsimile requests.

Receives, handles, and transfers phone calls and messages within the department promptly and courteously.

Inputs and retrieves data utilizing knowledge of various computer software packages.

Contacts and schedules backup staff to cover immediate and/or temporary staff vacancies.

Verifies that external personnel have current required license(s) or certification(s) prior to providing patient care in the hospital; coordinates completion of appropriate paperwork and documentation.

Prepares temporary coverage for projected staffing shortages; coordinates unit staffing sheets and supplemental staffing for individual nursing units.

Assembles orientation packets for temporary staff.

Documents individual department utilization of supplemental staff.

Finds private duty nurses and/or sitters as requested by patient care units on behalf of patients or patients’ representatives.

Assists computation of staffing ratios and other workload statistics.

Performs rounds to ensure sitter needs are being met and checking if staffing is being performed by JIT or Bid Shift.

Provides central staffing liaison during disaster drills or actual emergency crises to contact and call staff into the hospital for patient care.

Adheres to TMC organizational and department-specific safety, confidentiality, values, policies and standards.

Performs related duties as assigned.

MINIMUM QUALIFICATIONS

EDUCATION:  High school diploma or general education degree (GED), or an equivalent combination of relevant education and experience.

EXPERIENCE:  Two (2) years of office management experience, preferably in a hospital or healthcare setting.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of hospital or healthcare office operations and basic organizational techniques.

  • Knowledge of developing procedures and processes.

  • Skill in guiding and training others.

  • Skill in the use of Microsoft Office Products, Bed Board, Bed Staffing and scheduling software.

  • Skill in providing critical thinking to processes and evaluating unmet needs.

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

  • Ability to complete routine reports and correspondence.

  • Ability to listen and accurately interpret others' communication or instructions to take appropriate action.

  • Ability to calculate figures and compute rate, ratio, and percent and to draw and interpret bar graphs and apply basic algebraic concepts.

  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.

  • Ability to deal with problems involving a few concrete variables in standardized situations.
